Columba Magazine is the editorial magazine of the Palliativ-Portal. This privacy policy describes how we process personal data on our website — including reader accounts, sign-in through Google, Apple, or Facebook, bookmarks and reading history, our contact form, support tickets (with optional file uploads), optional live chat on the contact page, and transactional email (e.g. verification and welcome messages). The site is available in German and English.
1. Data controller
Pallivivo (Columba Magazine / Palliativ-Portal) is responsible for data processing in connection with this website.

2. Scope
This policy applies to the Columba Magazine website at magazin.palliativ-portal.com (and its development environment), including reader accounts, the contact page, support requests, and related features.
It does not apply to external websites we link to (e.g. social media profiles or partner sites).
3. Data we process
Depending on how you use the site, we may process the following categories of personal data:
- Account data: email address, display name (optional), role (e.g. reader), registration time, email verification status
- Sign-in data: information from OAuth providers (Google, Apple, Facebook) if you use them — typically email and name
- In-account usage: bookmarks, reading history, and “continue reading” suggestions for signed-in readers
- Contact and support: name, email, message content, category, and optional attachments when you use the contact form or report a bug
- Support tickets: ticket status, correspondence, and stored attachments related to your request (processed by our editorial team)
- Live chat: messages and technical data if you use the chat widget on the contact page (provided by Tawk.to, when enabled)
- Technical data: IP address, browser type, timestamps, server logs (security and error analysis)
- Communication data: content of emails when you contact us or we send service messages (e.g. welcome or verification email from no-reply@columbamagazin.de)
4. Purposes
We process data to give you access to magazine content, provide reader accounts, perform secure sign-in, handle contact and support requests, operate and improve the website, and prevent abuse.
Magazine content is for information and orientation on palliative care — it does not replace individual medical advice.
5. Legal bases (GDPR)
Where the EU General Data Protection Regulation (GDPR) applies, we rely in particular on:
- Art. 6(1)(b) GDPR — performance of a contract or pre-contractual steps (e.g. providing a reader account)
- Art. 6(1)(f) GDPR — legitimate interests (e.g. IT security, error analysis, abuse prevention)
- Art. 6(1)(a) GDPR — consent where you optionally enable certain services (not our main approach today)
6. Sign in with Google, Apple, or Facebook
If you sign in with a third-party provider, we redirect you to that provider where you authenticate with your account there.
We typically receive your email address and optionally your name to create or recognise your reader account. We do not store passwords for those services.
What each provider shares depends on your settings with that provider. Please also read the privacy policies of Google, Apple, and Meta (Facebook).
If you change your display name in your Columba account, that saved name is kept when you sign in again.
8. Service providers and recipients
To run the magazine we use carefully selected processors, for example for:
- Hosting and server infrastructure (website and API)
- CDN and media storage (e.g. Bunny CDN for images and PDFs)
- Transactional email (Resend; sender no-reply@columbamagazin.de)
- Error and stability monitoring (e.g. Sentry)
- Live chat (Tawk.to, when enabled on the contact page)
- OAuth providers (Google, Apple, Meta/Facebook) when you use social sign-in
9. Retention
We keep personal data only as long as needed for the purposes above or as required by law.
Reader account data remains until you request deletion or we close the account for a legitimate reason. Support tickets and related attachments are kept as long as needed to handle your request and for follow-up, then deleted or anonymised where possible. Server logs are typically rotated after a limited period.
10. Your rights
Where applicable, you have rights including access, rectification, erasure, restriction of processing, data portability, and objection.
You may also lodge a complaint with a data protection supervisory authority.
11. Data deletion (delete account)
You may request deletion of your reader account and related data at any time — easiest via our Data deletion page (after sign-in).
Alternatively, email us from your registered address at info@palliativ-portal.de with the subject line “Columba account deletion”. We confirm deletion once your identity is verified.
After deletion, bookmarks, reading history, and profile data cannot be restored. Legal retention obligations remain unaffected.
12. Security
We apply appropriate technical and organisational measures to protect your data (e.g. encrypted connections, access controls, secure authentication).
Please protect your credentials and report suspicious activity promptly.
13. Children
The magazine is aimed at adults and professionals. Reader accounts are not intended for children under 16. If you believe we process a child’s data without parental consent, please contact us.
14. Changes
We may update this policy when our website, services, or legal requirements change. The current version is always available at this address.
For material changes we will inform registered users where required.
